Executive Assistant

Job Description

Position Summary: The Executive Assistant provides administrative support to the Executive Staff (Sr. Pastor, Pastor’s Wife, and Chief Operations Officer.)    

 

The Executive Assistant also supports the Executive Board (under the direction of the Sr. Pastor and Chief Operations Officer; coordinates executive offices, coordinates the facility rentals, and partners with the staff and congregation in fostering a climate of hospitality and support.)

 

Job Duties: 

1. Administrative Support to Executive Staff  

The Executive Assistant responsibilities provide support to the Executive Staff in the following areas: 

 

A.   Provide administrative support to the Executive Staff and Executive Board (including correspondence, reports, special projects, events, etc.) 

B.    Coordinate and organize daily office activities and operations, and direct the workflow within the Executive Staff office, as appropriate, to minimize the demands on the Executive Staff. 

C.    Provide hospitality support by arranging meals, booking accommodations, and running logistics for meetings, events, guests, and programs hosted by the Executive Team. 

D.    Maintain the daily and long-term schedule of activities for the Sr. Pastor and Pastor’s Wife. This includes ensuring their calendars are current, organizing their travel schedules, ensuring accommodations, and registrations for conferences with accommodations and travel, and providing back-up materials, special arrangements and transportation related to these activities. 

E.    Ensure consistent customer service delivery in a collaborative and solutions-based capacity to all levels of staff and volunteers. 

F.    Collaborate with the Office Manager to support the Administration of the Ministry.  

G.   Other duties assigned by the Executive Staff. 

 

 

2. Administrative, Special Event, and Project Management  

The Executive Assistant provides campus facility rental management, special events, and project management support for the COO which includes the following: 

A.    Reviews facility rentals, special events and project proposals or plans to determine time frame, procedures for accomplishing project, staffing requirements, and allotment of available resources through various phases of project. 

B.    Confers with facility rental, special event and project staff to outline work plan and to assign duties, responsibilities, and scope of authority. 

C.    Directs and coordinates tasks and activities of the facility rental, special event, and project personnel to ensure event and project progresses on schedule and within prescribed budget. 

D.    Reviews status reports prepared by project personnel and modifies schedules or plans as required. 

 

3. Personal/Spiritual Growth 

The Executive Assistant applys faith to daily life and transform spheres of influence with the purpose of leading others to Christ. 

 

A.    Attend weekly worship services and maintain a consistent devotional prayer life. 

B.    Participate in growth opportunities both within and outside the congregation such as conferences, seminars, workshops, and small groups Bible study. 

C.    Take advantage of at least one yearly opportunity to improve the professional skills described above. 

D.    Maintain healthy relationships by balancing work and personal commitments. 

 

4. Minimum Qualifications:  

 

A.     A clear testimony of faith and a vital, personal, and growing relationship with Christian beliefs evidenced by attitude and behavior. 

B.     At least a Bachelor in Business or related field is required. 

C.     Five (5) to Seven (7) years’ experience in office administration and support of a key executive.  

D.     Embrace and adapt to growth, change, innovation, and creativity. 

E.     Use appropriate judgment in the areas of discretion, sensitivity, and leadership. 

F.     Ability to create positive working relationships with a diverse group of people and volunteers including gender, ethnicity, age, culture, and skill level differences. 

G.    Strong work ethic and commitment to excellence. 

H.    Maintain cooperative, healthy, and motivating relationships with leadership team, colleagues, and volunteers. 

I.      Excellent customer service, interpersonal, verbal, and written communication skills. 

J.     Proficiency in Microsoft Office Suite or other computer software systems, including database experience. 

K.    Work experience in a church or non-profit preferred. 

L.    Requires flexibility for occasional evening and weekend responsibilities.
